Tender: National RFP for Turf and Athletic Surfacing Solutions, Equipment, Materials and Services
Released 2 months ago
About
Canoe Procurement Group of Canada, on behalf of its members, and Sourcewell are seeking suppliers for Turf and Athletic Surfacing Solutions with related equipment, materials, supplies and services for use by their participating public-sector entities across Canada and the United States. The RFP requests proposals in two primary categories: turf-based athletic surfacing solutions (synthetic, hybrid and natural turf systems as the primary focus) and non-turf athletic surfacing solutions (including running tracks, court surfaces, poured-in-place systems, rubberized flooring, wood, vinyl and other performance surfacing materials), along with equipment, accessories, technology, materials and services directly related to those offerings, such as design, engineering, installation, removal, disposal, rental, refurbishment, inspection, repair, maintenance, training and support. The solicitation seeks suppliers able to provide complete or turnkey solutions, prefers sole-source responsibility and requires proposers to identify subsidiaries and describe any distributor, dealer, reseller or subcontractor networks. The RFP will result in regional and/or national contracting solutions under applicable Canadian trade agreements; resulting contracts will have a four-year term with up to three additional one-year extensions and potential additional extensions in exceptional circumstances. Proposals must be submitted only through the Sourcewell Procurement Portal by October 15, 2026 at 3:30 p.m. Central Time; late or alternate-format submissions will not be considered.
This opportunity is valuable for companies that supply synthetic, hybrid or natural turf systems and for firms offering turnkey athletic surfacing services (design through maintenance) to public-sector clients across Canada and Sourcewell participating entities. Key considerations include the strict portal-only submission and firm deadline, the solicitation’s preference for sole-source responsibility and the need to disclose subsidiaries and distribution/subcontractor networks, and compliance with applicable Canadian trade agreements and multi-jurisdictional member requirements; contract term is four years with possible extensions.
